Who we are
PropBot AI ("PropBot", "we", "us") provides an AI-powered WhatsApp assistant and web dashboard that helps RERA-licensed real estate brokers in Dubai respond to property enquiries, qualify leads, share listings, and schedule viewings. PropBot AI is a technology tool for licensed brokers; we are not a licensed brokerage.
This policy explains what data we collect when you interact with a broker's PropBot-powered WhatsApp number or use our dashboard at app.propbotai.net, how we use it, and the choices you have.
Information we collect
From WhatsApp conversations: your WhatsApp phone number and profile name, the content of messages you send (text, images, documents, and shared locations), and delivery/read receipts. If you share property preferences (budget, community, bedrooms, timeline), we store them so the broker can assist you.
From brokers using our dashboard: account details (name, email, company, RERA number), property listings and brochures you upload, calendar connection data if you link Google Calendar, and billing details processed by Stripe (we never store full card numbers).
Automatically: service logs and usage metadata (such as timestamps and message status) needed to operate and secure the service.
How we use information
We use data to:
- generate helpful AI responses to property enquiries on behalf of the broker;
- qualify leads and match enquiries to the broker's listings;
- schedule property viewings and send reminders and follow-ups;
- show brokers their conversations, leads, and analytics in the dashboard;
- process subscriptions and billing;
- maintain security, prevent abuse, and comply with legal obligations.
We do not sell personal data, and we do not use it for third-party advertising.
WhatsApp and Meta
Conversations run on the WhatsApp Business Platform operated by Meta. Message delivery to and from WhatsApp is handled by Meta and is also subject to the WhatsApp Privacy Policy. Messaging a PropBot-powered number is voluntary; you can stop at any time by ceasing to message the number or asking to speak with a human agent.
Service providers
We share data only with the processors needed to run the service:
- Google Cloud — database and file storage (hosted in the me-central1 / Doha region) and application hosting;
- Anthropic — AI processing of conversation text and uploaded brochures to generate responses and extract listing details;
- Meta (WhatsApp Business Platform) — message delivery;
- Stripe — subscription billing for brokers;
- Vercel — dashboard hosting.
Each provider processes data under its own security and privacy commitments. We may also disclose information if required by law.
Data retention
Conversation and lead data is retained while the broker's account remains active so brokers can serve returning clients. Brokers can delete leads, conversations, and listings from their dashboard. When an account is closed, associated data is deleted or anonymized within a reasonable period, except where retention is required by law (for example, billing records).
Data deletion requests
You can request deletion of your personal data at any time:
- email support@propbotai.net with the phone number you used on WhatsApp, or
- send "DELETE MY DATA" to the WhatsApp number you interacted with.
We will verify the request and delete your conversation history, lead profile, and associated personal data within 30 days, unless we are legally required to keep specific records.
Security
Data is encrypted in transit, access is restricted to authenticated broker accounts scoped to their own data, webhook traffic is signature-verified, and infrastructure runs on Google Cloud with industry-standard protections. No system is perfectly secure, but we work to protect your information against unauthorized access, alteration, or loss.
Your rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. Contact us at support@propbotai.net to exercise them.
Children
Our services are intended for adults and are not directed to anyone under 18. We do not knowingly collect data from children.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by a new effective date on this page.
